Introduction

GTECH was entrusted with designing and building the event registration website for the NEOM ZERO GRAVITY URBANISM exhibition in Venice. The exhibition, held from May 20 to September 24, 2023, showcased groundbreaking proposals from renowned architects and aimed to address global environmental and social challenges while promoting a balance between nature conservation, livability, and sustainable human progress.

The primary objectives of GTECH’s event registration website were:

  1. Facilitate visitor registration for the exhibition.
  2. Manage event information effectively.

Website Design and Features

GTECH developed a user-friendly website with two distinct sections: one for general registration and another specifically for speaker events. The website incorporated the following key features:

Visitor Registration System:
GTECH created a seamless visitor registration system that captured user details and issued QR tickets. The registration form collected essential information such as name, contact details, and preferences. Upon successful registration, visitors received QR tickets via email.

Data Collection Form:
GTECH provided a comprehensive data collection form that allowed visitors to provide in-depth information about themselves. This form helped organizers gather valuable insights into the demographics, interests, and preferences of attendees. The data collected facilitated future event planning and personalized engagement with visitors.

On-site Check-in System:
To streamline the entry process, GTECH implemented an on-site check-in system using QR codes. Attendees could either print their QR tickets or display them digitally on their smartphones. On-site scanners effortlessly read the QR codes, verifying visitor authenticity and granting entry.

Advance Registration:
Registration for the event was opened well in advance. This allowed organizers to gauge initial interest and estimate the number of attendees. It also helped in planning logistics, ensuring a smooth and hassle-free experience for both visitors and exhibitors.

Reminder Notifications:
Closer to the event date, GTECH sent timely reminder notifications to registered attendees. These reminders served as gentle prompts to confirm attendance and served to re-engage those who might have forgotten about the event.
